In compliance with Legislative Decree 24/2023, X UNDERWRITING SRL has integrated its management system to enable the receipt and handling of reports related to the Whistleblowing service.
In accordance with the provisions of the regulation, reports may be submitted either in written or oral form, in both cases using the dedicated platform accessible via the link provided below. Reports may also include a request for a direct meeting with the person appointed by the Company.
The platform ensures security protocols aimed at providing maximum protection and confidentiality of the whistleblower’s identity.
Once the submission has been completed, the system will automatically generate a unique identification code, called the report ID, which must be carefully retained by the reporting user. Through this code, the user will be able to access the platform again to check the status of the report, view any feedback, or respond to requests for further clarification regarding the submitted report.
Pursuant to Article 10-ter of ISVAP Regulation No. 24/2008, introduced by Article 5 of IVASS Measure No. 46/2016, a complaint is a statement of dissatisfaction submitted in writing against an insurance undertaking or an intermediary, relating to an insurance contract or service.
Complaint handling is an essential element of the company’s internal control system, as well as a requirement under current legislation. It enables the identification of operational and conduct-related issues, the prevention of recurring errors through improvement processes and communication among the various corporate bodies, the reduction of reputational risk, and support for the Administrative Management in the proper performance of its duties.
At X Underwriting S.r.l., the procedure applies to all complaints relating to the products distributed and the services managed within the scope of the activities carried out by the company in its capacity as an MGA, including reports involving employees and/or collaborators duly authorised by mandate, within the context of their distribution activities.
Complaint handling is the responsibility of the Complaints Officer, who ensures the application of this internal procedure, as well as the traceability of activities and the proper filing of supporting evidence.
X Underwriting S.r.l. provides everyone with a dedicated channel for receiving complaints, in order to ensure that complaints are properly taken in charge promptly, while also guaranteeing the preservation of supporting evidence.

In order to facilitate the handling of the complaint and the related processing times, the complaint may include the complainant’s identification details and contact information, the policy number or claim reference, where available, together with a clear description of the disputed facts and any documentation useful for reconstructing the event.
X Underwriting S.r.l. will take charge of the complaint and handle it within the prescribed time limits, specifying that, where the complaint concerns matters falling within the competence of the insurance company, the Company will forward it accordingly, ensuring its traceability and monitoring.
A response to the complainant is provided within 45 days of receipt of the complaint.
Should the complainant not receive a response within this period, or consider the response received unsatisfactory, they may contact IVASS in accordance with the procedures laid down by current legislation. Where the relevant conditions are met, as of 15 January 2026 the Insurance Ombudsman is operational, an alternative dispute resolution system for insurance matters, which can be accessed exclusively online through the dedicated portal. Our Claims Department operates with this objective: to support clients and each case with focused attention and method, facilitating the proper exchange of information between the policyholder, the intermediary and the insurance company concerned. All of this is carried out in compliance with the policy terms and conditions, the applicable procedures and the responsibilities assigned to X Underwriting S.r.l.
In the event of a claim, the client may contact their reference intermediary, who will be able to open the case through their reserved area in X Portal, the preferred channel for faster case management, or they may contact the X Underwriting Claims Department through the channels and steps listed below.

The activities carried out by X Underwriting in relation to claims are performed within the limits of the responsibilities assigned by the agreements with the insurance companies, the policy terms and conditions, and the applicable legislation.
